Understanding Media in WordPress You Should Know

Hello Everyone, when managing your website, you need to know about the media storage for your site. In this article, Mangcoding will discuss understanding media in WordPress that you should know.

Media consists of images, videos, recordings, and files that you upload and use on your website. Media is typically uploaded and inserted into content when writing posts or pages.

The Upload Settings on the Media Settings screen explain the location and directory structure of uploads. If you need to upload media, even if the media is not related to posts or pages, you will need to use the New Media Add screen.

Next, visit the Add New Media screen to upload new media by clicking the Add New link at the top of the screen or select Media > Add New from the left menu.

Media Library

The Media Library screen allows you to edit, view, and delete media that has been previously uploaded to your website.

Some media items can be selected for deletion. Additionally, search and filtering capabilities are provided to help you find the desired media.

The Media Library offers two types of views. One is a simple visual Grid view and the other is the conventional List view. To adjust these views, use the icons at the top left of the screen.

In the Media Library view, image thumbnails, audio icons, and video icons are displayed in a Grid layout.

Filtering Options (Filter Media)

At the top of the Grid View, you can filter media by type and the date of media you need:

1. All Media Items

This dropdown allows you to select by media type such as Image, Audio, and Video. By default, “All Media Items” will display all your media.

2. All Dates

This dropdown allows you to filter media by date. By default, “Show All Dates” is selected, showing all your media.

To the right, there’s a search box where you can enter a word or phrase to search and display all media matching your search query.

Deleting Media

To delete media items, click the bulk select button at the top of the screen. Then, select any items you want to delete and click the “Delete Selected” button. If you click the “Deselect” button, you will return to the media view of your website.

Attachment Details

In the Media Library Grid view, selecting an image thumbnail, audio icon, or video icon will display an attachment details dialog that allows you to preview the media and make quick edits.

Any changes you make to the attachment details will be saved automatically. You can also delete individual items and access the expanded edit screen from the details dialog.

Use the arrows at the top of the dialog or the left and right arrow keys on your keyboard to quickly browse and select media items.

The Attachment Details dialog changes its appearance and information based on the media type. The left side of the dialog shows the image, audio player, or video player. The right side lists media file attributes and optional data. Some of the editable fields include.

  • Uploaded On – Date the media file was uploaded
  • Uploaded by – Author who uploaded the media
  • Uploaded to – The title of the post or page containing the media
  • File Name – The media file name
  • File Type – MIME type of the media file
  • File Size – File size of the media file
  • Dimensions – (For image files only) Image media dimensions
  • Alternative Text – (For image files only) Alt text for the image, used for accessibility.
  • Title – The media title, often displayed on attachment pages and galleries if the theme or plugin is designed to display it
  • Caption – A brief explanation of the media
  • Description – A detailed explanation of the specific media
  • File URL – The direct read-only link to the media file
  • Copy URL to Clipboard – Click to copy the media file URL to your clipboard
  • Artist – (For audio files only) Artist, composer, or producer of the media
  • Album – (For audio files only) Album title containing the media
  • At the bottom, you can see three link options:

    • View Attachment Page – View the media in a simulated theme display.
    • Edit More Details – Displays the Media Edit Screen. See the Edit Media section for details on editing media information.
    • Download File – Provides a download link for the uploaded media file.
    • Delete Permanently – Permanently deletes the media.
    • Edit Image – (For image files only) Allows you to edit the image, such as rotating, scaling, and cropping.

      In the Media Library List View, the table lists all your media by rows. Media is listed with the most recently uploaded items first.

      Media Table

      The Media Table contains the following columns:

      • [ ] – A checkbox that, when clicked (checked), ‘selects’ a specific media item for processing by Bulk Actions.
      • Thumbnail – Displays the media thumbnail image.
      • File – Displays the media file name as a link. Clicking the link will open the Media Edit Screen.
      • Author – Displays the author of the media as a link. Clicking the link will show all media uploaded by that author.
      • Uploaded to – Displays the title of the post or page containing the media, with the upload date.
      • Comment bubble – Shows the number of comments on the media. Clicking the bubble opens the comment screen for moderation.
      • Date – The upload date of the media.

      Sortable Columns

      Sortable columns like File, Author, Uploaded to, and Date can be clicked to sort the table, either ascending or descending.

      Page Navigation

      BUnder the Screen Options, you can set how many media items to display per page. If there are multiple pages of media, the system provides double arrow icons to navigate to the first and last pages.

      Additionally, the system provides single arrow icons to navigate one page at a time.

      Screen Options allow you to select which columns to display or hide. Clicking the Screen Options tab shows a list of columns with checkboxes next to each.

      Check the box for each column you want to display in the table, or uncheck it to hide the column. You can also set the number of media items to display per page in the Media Table.

      Search

      Above the table, on the right, there’s a search box where you can enter a word or series of words and press Enter to search and display all media that matches your query.

      Filtering Options (Filter Media)

      At the top of the List View, you can filter media by type and date, similar to the Grid view:

      1. All Media Items

      Dropdown allows you to filter by media type like Image, Audio, and Video.

      2. All Dates

      This dropdown allows you to select media based on date, which will be displayed in the list view. By default, “Show all dates” is selected, and all your media will be displayed.

      On the right side, there is a search box where you can enter a word or a series of words to search for and display all media that match your search query.

      Using Select, Actions, and Apply

      1. Selection

      This screen allows Bulk Actions to be performed on one or more selected media items in the table. To perform Bulk Actions on multiple media items, they must be selected first using one of the following methods:

      • Select one media at a time by checking the box next to each media item.
      • Select all media in a given table by checking the box in the table header or footer.
      • Reverse Selection allows you to flip the selection state of items by holding Shift on the keyboard and clicking the checkbox in the header or footer.

      2. Actions

      Actions refer to processes performed on a specific media item. There are two types of actions: Bulk actions and Immediate actions.

      • Bulk actions – These actions can be performed on one or more media items at once, if they have been selected beforehand.
      • Immediate actions – These actions are executed immediately on individual media items. Clicking on the media title will also initiate the Edit action.

      Available actions include :

      • Edit – Displays the Media Edit Screen. See Edit Media for details.
      • Delete Permanently – Deletes the selected media permanently.
      • View – Displays the media in a simulated display for your theme.
      • Copy URL to Clipboard – Copies the media URL to the clipboard.
      • Download File – Allows users to download their uploaded media.
      • Attach – In the Unattached filter, the “Attach” action is available to attach the media to a post or page.

      Applying

      After selecting one or more media items and choosing a Bulk Action, click the Apply button to execute the selected action on the chosen media.

      • Apply – Click the Apply button to execute the Bulk Action specified in the Action dropdown on the selected Media. Remember, before performing an action, one or more Media items must be selected, as explained earlier.
